As a Virtual Assistant Business owner, I am often asked which tools I use to keep things on track. Here are my top 5 most used tools that I recommend to all my clients.

This is a password vault that keeps all your sites and passwords secure. I cannot live without it and everything gets saved in there. It can be added to your browser bar to automatically save sites that you log into (just like Google does but easier to use) for you and it is also an app you can have on your phone. There is a free, premium and family option. A tool to help you stay organised. This is basically a list-making application that I describe it as an online post-it system.ย If like me, you like lists and you are a visual person this is ideal as a project management tool. It can be used on the desktop and as an app on your phone, although I don’t use the app myself. It’s a powerful tool that I know I don’t use to its full capacity but if you need a simple and visual way to stay organised it’s brilliant. I use the free option which is more than adequate.

A scheduling system where people can book only the dates and times you specify. It saves a lot of time as people can book in when it suits them rather than email back and forth. You can also take payments through it and run polls. I do pay for this as not all options are free but it’s worth it and not expensive.

A tool to get documents signed remotely with an e-signature. Ideal if you have contracts that need signing. The basic free package allows you to generate 5 documents per month for free.

Accounting software. There are many to choose from, this one is free with a NatWest business account and it enables me to do all my invoices and accounts, including the tax return (actually, my accountant does that but she does it through this software). I also use it to track the time spent on client work.
